Job Purpose:

• To ensure that documentation for all incoming ocean freight to Trinidad & Tobago is completed accurately & delivered to customers in a timely manner.
• To update shipment status, delivery status & Manifest Registration Number accurately & Regularly in Magaya.
• To ensure sub delivery orders are prepared in good time for customers collection.
• To ensure entry into Customs ASYCUDA System is completed accurately & in a timely manner.
• To provide excellent support service to customers in a courteous, prompt & efficient manner to enable customer retention & new/repeat business.

Key Task:

• Perform tasks accurately & in a timely manner to minimize expenses, losses, fees & charges incurred by the company (e.g. Demurrage, storage, amendment fees, customs penalties/fines)

Customer Service:

• Notify consignees of upcoming ocean shipments, charges, cargo un-stuffing, clearance location, vessel delay & cancellations in a timely manner.
• Address & update customers promptly with respect to their queries.
• Provide excellent support service to customers in a courteous, prompt & efficient manner to enable customer retention & new/repeat business.

Internal Process:

• Review Master Bill of Lading (MBL) based on Manifest/Pre Alerts to ensure all cargo is received and tallied.
• Submit Manifest/Riders & Un-stuffing Letters to the Shipping Lines in a timely manner, within deadline (24hrs before vessel arrives)
• Prepare and submit PTR (C25) documents to CCA Customs Department before vessel arrives to avoid additional charges.
• Upload documents into ASYCUDA system accurately & in a timely manner.
• Liaise with the warehouse facilities for schedules related to un-stuffing containers.
• Update weekly (every Monday) the "container un-stuffing list" & forward to the relevant departments (Ocean Import, Customs, Import Logistics & Aviation Business Ltd). Upload into Magaya in a timely manner & update customers to avoid charges.
• Prepare Sub-Delivery/Delivery Receipts for Ocean Import Shipments & notify consignees upon collection from carriers.
• Submit Documents to Insurance/Credit Department for Insurance Premium.
• File signed consignee Documents for accurate record keeping.
• Prepare change to read form where applicable due to changes with Documents (Customs Amendment fee). Submit to Customs for approval & then update in ASYCUDA system.
• Input Customer Data (charges) accurately into Magaya Software to generate Arrival Notices, Invoices, Bills, Credit Notes & Billing Adjustments.
• Provide AYCUDA information to Freight Forwarder/ NVOCC to de-group their shipments.
• Liaise with Shipping Line/Freight Forwarder for information to de-group in ASYCUDA.
• Validate MBLs entered in ASYCUDA by CCA.
• Input Customer Data timely & accurately into ASYCUDA System.
• Liaise with overseas Offices, Partners or Agents in Relation to Ocean Import Documentation to obtain/communicate pre alerts, credit, change & query documents.

• Ensure proper use of work station, security of data & shut down of computers at end of the day.

• Provide prompt, accurate & competitive pricing/quotes, ensuring profitability on all shipments.
• Liaise with CCA agents worldwide in order to obtain best rates and routes, (includes markup, calculation, conversions & comparisons) for movement of cargo to Trinidad & Tobago to meet customer requirements and deadline.

Customer Service:

• Monitor and coordinate the movement of cargo through contact with the Carrier / Agent & inform the customer as required.
• Assist in giving timely advice to customers when there is a delay in the arrival (or departure) of cargo up to the point of issue/handover of documents to relevant department.

Internal Process:

• Review Air waybills, & bills of landing to ensure accuracy in pricing, insurance, weight & piece count and other related documents for invoicing purposes ensuring accuracy and timeliness.
• Ensure that a New customer profile form is completed & signed by each new customer & passed on to the CCA Magaya Team for input and copied to insurance department. Notify CCA Magaya Team of changes in customer details when necessary for update.
• Liaise with with Insurance/Credit Department to confirm insurance on cargo.
• Coordinate cargo releases with Fast Flow & customers to do weekly LCL consolidations (Miami, Agents) and ensure all documents, invoices, CARICOM, IMO, consignee information is correct and is received within deadlines.
