Responsibilities at Human Resource Department
· Creates and inputs employee data into the Leave Management Information System (LMIS)
· Maintains the filing of employees records of attendances
· Prepares quarterly summary reports on employee time loss and attendance
· Prepares Absence Without Leave and Leave Without Pay correspondence for monthly paid employees
· Prepares warning and suspension letters for employees
· Creates and updates employee files
· Keeps a proper log of files delivered and received
· Verifies and processes documents before it is dispatched from the department
· Ensures all documents adhere to guidelines and procedures
· Maintains a concertina of all memoranda dispatched
· Processes correspondence for all leave, quay allowance, resignations etc.
· Responds to unsolicited job applications via email
· Supports the Training Coordinator in the execution of duties
· Procures weekly random list of selected employees from IT department for random drug screening
· Prepares correspondence for randomly selected employees to attend drug screening
· Prepares correspondence for employees who test positive for substance abuse and alcohol
· Assists with the recruitment and selection and orientation of new employees
· Assists with correspondence to unsuccessful applicants with respect to interviews
· Assists with correspondence for wharf passes
· Assists with project research when requested
Responsibilities at Public Relations Department
· Receives and records all incoming and outgoing correspondence
· Liaises with customers from Barrel Shop and Cargo Accounts for feedback as it relates to customer service and satisfaction
· Monitors media for relevant port related articles/news and dispatches to stake holders electronically
· Reports customer grievances to the relevant departments
· Establishes and maintains relationship with media for the purpose of reserving of advertisements
· Collects, maintains and updates client information for customer profiles
· Organizes internal events/functions inclusive of Port Tours
· Updates and maintains the filing of office records
· Prepares and edits articles for organizational publication i.e. PATT Internal Magazine (Portside),business letters & reports for internal and external audiences
· Uploads daily schedules and other published information to the PATT website
· Liaises with the relevant stakeholders regarding the procurement of goods and services for PR events and addresses any inquiries on PR related matters
Responsibilities at Mechanical Stores Department
· Monitors, categorizes and secures existing stock inventory
· Prepares reports of stock inventory for all relevant Managers
· Receives, records and issues inventory and stock items
· Assists in stock taking / Audit inventory
· Liaises with suppliers for stock replenishment
· Posts issued inventory in DYNASTAR
· Prepares Good Received Notes
· Maintains and updates filing system of department
· Performs any other related duties as required
