  • Maintain impeccable office organisation to support efficiency, professionalism and performance objectives for Thomas and Sons Limited and subsidiary companies.
  • Implement and maintain company protocols to promote smooth daily activities.
  • Provide administrative support for CEO, including scheduling meetings, corresponding with staff and preparing reports.
  • Facilities management: sourcing, negotiating and overseeing all contractors to rectify any issues such as electrical, plumbing, contracting, building maintenance, air conditioning, painting, I.T., phones etc.
  • Obtain, manage and maintain relations with service providers such as landlords, internet, phones, mechanics and gas accounts.
  • Manage office supplies inventory to ensure adequate stock levels at all times. This includes furniture, equipment, stationery, pantry and toiletries and cleaning supplies.
  • Handle local accounts payables records and process payments for main and subsidiary companies.
  • Manage petty cash float for daily purchases and expenses.
  • Prepare weekly paid salaries and allowances, such as travel, phone, subsistence, overtime, gas.
  • Implement strategies to reduce expenditure.
  • Organise and coordinate functions such as Christmas luncheons/dinners, Secret Santa, sports days, hikes, retirement or birthday get togethers and decorate for Christmas.
  • Maintain filing systems for staff, utilities and local suppliers records.
  • Review service providers contracts prior to signing on behalf of the organization.
  • Human Resource Personnel; manage and supervise office and retail staff in daily operations, as well as record keeping of their attendance, vacation and leaves.
  • Assist in the hiring process by screening resumes, conducting interviews and making recommendations for new hires.
  • Provide a bridge for smooth communication between Directors and internal departments, while demonstrating leadership to maintain credibility, trust and support with staff.
  • Establish effective communication systems between departments to facilitate workflow, through direct meetings, memos or company what's app group, which I am the Administrator.
  • Use judgement and initiative in handling confidential matters and requests.
  • Team player; pitch in to help with office tasks during busy periods such as sales and staff absences.
  • Train and discipline staff in company policies, daily tasks execution and industry best practices .
  • Allocate tasks to subordinates when needed.
  • Bringing forth evidence of staff malpractices within any of the companies, disciplining and providing solutions to rectify and avoid future occurrences.
